If you would like to send an email with a voucher code when you payout a referral commission, follow the steps below to configure the setup.

Summary of Steps

Step 1: Create a CSV File

Start by creating a .CSV file with a list of unique codes from your system that can be redeemed by the recipient.

Your file must include the following column names & data:

  • code: The list of voucher codes from your system should go in this column.

    • Note: Each code must be unique and accepted in your shopping cart or system.

  • campaign_id: Add the campaign UID in this column for each row

    • The ID can be found in your "Campaigns" table under the "ID" column.

    • Note: Voucher codes must be assigned to a campaign. If you have multiple campaigns, then you should split up the codes to assign between them.

Step 2: Import your voucher code CSV file to Ambassador here.

  • Go to Ambassador > Settings > Payments > hover your mouse over Codes and click Configure.

  • Next, click on the Vouchers tab > then, click the blue Import voucher codes button.

  • In the popup window, click upload your CSV file > then, click the drop-down to select who you want to send the import results to > and click Next.

  • On the Mapping screen, check the box for "First row contains column names" > then, select Coupon Codes and Campaign ID from the "Fields to import" column > and, click Next.

  • On the Review screen, select any sections you need to go back and edit. Otherwise, click Finish.

  • Check your email for the import results.

    • If it was completely successful, the codes will be displayed in the Vouchers table and you can move on to step 3.

    • If it was not successful, download the error file (linked in the results email) to review and resolve.

Tip: You can also monitor your import and find results in the Tasks table.

Step 3: Enable Vouchers in your Campaign Settings

  • In Ambassador, click on Referral > Campaigns > then select the Campaign. If you have multiple campaigns to configure for voucher codes, repeat these steps for each.

  • First, in your Commissions settings, make sure that your commission event(s) are set to Flat non-monetary. This is required to payout commissions with a voucher code. If that is not your setup, please discuss with our team.

  • Once the commission events are set, click Payments > and toggle on Vouchers from the list. Then, click "Set as Primary Method". This tells our system which payout method to use if you're using scheduled payouts.

Step 4: Enable and customize the Fulfilled Payout campaign email

  • From Referral > Campaigns > select your campaign > click on Emails > toggle on the Fulfilled Payout email > and click Customize.

  • Use the editor tools or your own HTML to customize the Fulfilled Payout email template with your preferred copy and design. Make sure to include the required merge tag {voucher_code} in the email.

Our system will dynamically populate the {voucher_code} merge tag with a unique voucher code from the list that you uploaded for this campaign.

Tips for editing

  • Subject: Enter a catchy subject line for the email's purpose and follow subject line best practices.

  • From Email & Name: This will default to the Outgoing Email Address & Domain that is setup in your Account Settings. If you change the email address, there are a two rules to follow:

    • It must have the same domain as what's verified in your Account Settings, otherwise you'll get an "Invalid Email Domain" error.

    • It must be an inbox that you can receive responses.

  • Merge Tags: In addition to the {voucher_code} merge tag, there is a list of other supported merge tags and their descriptions above the email editor.

Step 5: Save and Test

Once you have finished customizing your email, save it and send yourself a Test email to make sure that the format and links are working properly.

Note: Some versions of Outlook are known to not render images properly. If you're having trouble with that, connect with your internal email marketing expert to see if they can help you solve the image issue. Otherwise, email your support rep or support@getambassador.com for further help.
